DesignXY Ltd - Privacy Policy

This policy outlines how DesignXY Ltd will store and / or use any personal data that we collect from you, or that you provide to us. Your privacy is important and we are committed to ensuring it is protected in accordance with current data protection legislation. If required, DesignXY Ltd may update this policy at any time. Any updates will be published on our website.

Your Personal Information

Information by which you may be personally identified may be collected via our website, from telephone calls and from any written correspondence. By providing any such personal information, you agree to us contacting you. Your personal information will however only be used by DesignXY Ltd and will not be sold to any other organisation. This may include such information as :-

  • Name, job title, contact information such as address, telephone number etc, details of your property and land ownership and any other information deemed relevant to your project. This information is recorded in Google Contacts (for the purposes of e-mail correspondence), Contacts by Apple (for the purposes of mobile correspondence), Xero (for accounting purposes), monday.com (for project administration / management purposes).

  • Information collected via email and web-based forms. Email hosting is via Google G-Suite and our web hosting is through Squarespace.

  • If you enter in to any formal service contract with DesignXY Ltd, we may store your information within Xero for our accounting needs. Information will also be shared with RIBA Contracts.

  • The Construction Cost Calculator and Architectural Fee Calculator hosted on the DesignXY Ltd website, collects information using Google Forms and stores the data in Google Sheets, before passing the relevant information via Automate.io into monday.com, prior to emailing the results to the named party in the Google Form. By using the Calculator, you agree to your data being stored and processed for the purposes of delivering construction cost and architectural fee information to you.

Your information is held for as long as we need it, to enable us to manage and administer your project, and in line with any legal, statutory and regulatory requirements. Our storage of personal data will be reviewed on a regular basis. Redundant information will be disposed of, however you can request for us to delete any of the information that we hold about you at any point.

Use of Information - Our Recruitment Process

We will retain your personal data in relation to recruitment for approximately one year following the completion of the process if your application is not successful. Your data will only be shared with relevant third parties, such as recruitment advisors, but only to the extent that disclosure is necessary for the recruitment process.

Use of Your Information

Your personal information is used first and foremost to help us understand your project requirements and provide you with suitable levels of service. Copies of correspondence between you and DesignXY Ltd may also be kept within your project records. We therefore store your information for the following reasons :-

  • To help provide the services you appointed us to complete.

  • Internal company records.

  • To help improve our service generally.

  • To inform you about forthcoming events and any DesignXY Ltd news that may be of interest to you.

  • To allow DesignXY Ltd to understand and respect your preferences.

Direct Marketing

We will only send you direct marketing or update information if you have signed up to this on our website or as part of a written appointment document. You have the right to opt out of this at any point by contacting us through studio@designxy.ltd.

Disclosure of Information

We will only disclose necessary personal information to relevant third parties and in all instances we would ensure your information is appropriately protected. This may involve sharing information with statutory organisations such as a Local Authority Planning or Building Control Department to fulfill a legal or regulatory duty.   • To enforce contractual rights or terms made as part of our service appointment to you.

  • To lawfully assist the police or security services with the prevention and detection of crime or terrorist activity.

  • Where disclosure is necessary to protect the safety or security of any persons.

If you are a European resident you have the right to access any personal information that we may hold on you and it is important to us that you are aware of these rights.

  • You can request a copy of your personal information, unless that would affect the rights and freedoms of others.

  • You can request that we amend any of your personal information that we hold if it is inaccurate or incomplete.

  • You can also ask us to delete or restrict the use of any of your personal information that we hold.

  • You can object to us using or processing any of your personal information for direct marketing purposes.

If you are unhappy with any aspect of how your personal information has been processed, stored or used or your request to exercise any of your personal rights has not been completed to your satisfaction, you can send a complaint to the Information Commissioner’s Office.

Security

We will take reasonable steps to protect the personal information you have provided to us from misuse and loss, as well as unauthorised access, modification and disclosure. This applies to electronic and hard copy formats.

You will however accept the inherent security risks associated with providing information over the internet via website forms or email.

Your information is stored securely and is not transferred outside of the European Economic Area (‘EEA’).

Our Website

We will collect some personal and device information when you visit our website. This is standard statistical data, such as your IP address, that is logged for our internal use only in understanding how our website is used through Google Analytics. It does not identify individuals.

At present we do not use cookies on our website.
